Position Description: Facilities Manager

Identifying Information

Status:   x   Full-time           x   Exempt                 Reports to:  Business Manager

General Description

Responsible for ensuring the safe and secure use of all parish buildings and properties (including the Holy Spirit School & West Avenue Sports Complex Fields); supervision of maintenance personnel, weekend & night manager personnel; scheduling all building and property uses; coordinates and implements the parish safety plan; maintains building and property security systems; responsible for scheduling and coordinating property inspections, routine maintenance, and repairs of facilities and grounds utilizing internal maintenance personnel and outside contracted services.

Major Areas of Responsibility

Supervise maintenance personnel and night & weekend facility managers (including conducting annual performance evaluations, approving timecards, employee status, etc.);

Oversee the obtaining of quotes, analyze options, recommend solutions and then obtain approvals for maintenance, repairs, and construction of facilities.

Act as Safety & Risk Management Program Coordinator for the parish and school as well as the Security Contact with the contracted alarm company and law enforcement agencies. This includes managing and maintaining the Emergency Response practices and procedures.

Coordinate with the maintenance staff and schedule work needed for the campus facilities.

Scheduling of all meeting room needs, including the parish halls, school, school gym, and the West Ave. Sports Complex fields.

Schedule personnel (security, contracted services for cleanup, repairs, etc.) for all activities held in the parish venues and meeting rooms.

Prepare a budget for venue rentals, service contracts, maintenance, and repair expense;

Determine and coordinate the use of furniture to be arranged for functions.

Meet with individuals to plan private parties, wedding receptions, and other events to be scheduled in parish venues.

Prepare contracts, explain rules for renting facilities, serve as a liaison between renter and parish, and responsible for the collection of rental fees;

Schedule and conduct property inspections with maintenance staff and schedule work, repairs, etc.

Prepare service contracts and contractors’ agreements for any construction projects.

Maintain current COI for any and all service contracts, contractors, etc.

Other duties as assigned.

 

Qualifications

Person of faith and prayer, actively participating in Roman Catholic worship (may be satisfied by a person who has knowledge of and willingness to function in a manner consistent with the mission of the Catholic Church) and ability to work well with a pastoral team

Bachelor’s degree preferred or 6 additional years of related experience beyond the minimum required may be substituted in lieu of a degree

Previous supervision in facilities & property management experience

Knowledge of code compliance laws, regulations, and regulatory expectations and provide insight and guidance

Excellent oral and written communication skills

Computer skill proficiency; knowledge of Microsoft Office tools Word and Excel

Ability to plan, organize and execute an efficient workflow plan and time schedule

Bilingual [English-Spanish] preferred
